Arriving Direct to Kathmandu International Airport

Assuming climbers are able to obtain competitive flight fares all the way into Tribhuvan International Airport (KTM) this is almost always the best means of reaching us and getting into position to begin your climb or safari. During the process of booking with us we will request your flight details and will sENd one of our drivers to meet your flight. Our driver will usually be wearing a black Team Mount Everest T-Shirt and carrying a placard with the name of the main correspondent representing your climb group.

Once in the driver’s vehicle the transfer to your hotel typically takes some 20 minutes. The distance from the airport to Hotel Buddy in Kathmandu is 5.3km.  

Eventualities on Arrival

Luggage Delays. It is unfortunate that climbers often face the issue of their luggage not arriving on their flight due to potential connection failures at airports like Amsterdam or Heathrow. To mitigate this, it is crucial to carry essential and irreplaceable items in your carry-on baggage. We highly recommend wearing hiking boots during the flight since they are difficult to replace. Generally, delayed luggage tends to arrive within 24 hours of your arrival, although delays of 3 or 4 days have been known to occur.

If you have a climbing expedition scheduled for the day after your flight and encounter missing equipment, you will need to improvise and find substitutes. In such a situation, please provide a list of the missing items to your driver during your transfer to the hotel. We will make every effort to locate replacement items and have them delivered to you the following morning. If required, the start time of the climb may be postponed by a few hours, but this should not pose any significant disadvantages.

In the event that luggage delays result in additional expenses, please ensure you obtain a receipt as these costs are typically covered by travel insurance. It may also be necessary to request a letter from your climb coordinator to verify the circumstances that led to the claim.

Late Drivers. Occasionally, a driver may be delayed but this is extremely rare, happening perhaps 3 or 4 times a year - either because of a puncture en route to the airport, because of an unfortunate accident, or because of a flight delay for a previous scheduled pick-up. Where however this does occur we ask you to call your climb coordinator as soon as you have scanned the entrance and have assured yourself that our driver is definitely not there. In this event we will usually be able to contact a reserve freelance driver based at the airport and will arrange for him to find you quickly. 

Pre-Climb Everest Base Camp Briefing

If you check into your hotel before 18:00 on the day prior to your climb, either your guide or an assistant guide will visit your hotel at 18:00 to provide a briefing. It is expected that you have already familiarised yourself with the information available on our website, so the briefing will not be overly time-consuming. Nevertheless, you are encouraged to ask the guide any questions or request additional information that could assist with last-minute preparations or alleviate any concerns you may have.

If you arrive too late to have a pre-climb briefing or if you have chosen to stay at a hotel outside of Kathmandu, your guide will only brief you on the morning of your climb or during your bus journey to the mountain. The guide will exercise discretion in determining the appropriate timing. It is important to note that if you already know in advance that you won't be able to attend a pre-climb briefing, it is advisable to discuss any concerns or questions with your climb coordinator before travelling to Nepal. This is because the guide will not have an opportunity to inspect your gear or replace any items, as doing so could result in delays in commencing the climb.

Your Everest Base Camp Kit Hire

During the booking process, you might have been offered the option to rent equipment for your climb. If you have chosen to hire gear, typically, the guide will provide you with the equipment during the 18:00 briefing on the day prior to your climb. However, there may be exceptional cases where this arrangement is not feasible. In such situations, the equipment will be handed to you when you are picked up the following morning. If this occurs, there's no need to overly concern yourself about fitting the equipment into your bag. Your guide will find a way to carry the gear if there isn't enough space in your holdall or backpack when you make final adjustments just before commencing the climb.
